Regulation of the 17th Conference “Young Researchers in Energy”

§ 1
General Provisions

  1. This Regulation defines the rights and obligations of the Participants of the 16th Conference “Young People in Power Engineering”, hereinafter referred to as the Conference or KME.
  2. The Organizers of the Conference are the Faculty of Mechanical and Power Engineering and the Faculty of Environmental Engineering of Wrocław University of Science and Technology, headquartered in Wrocław (Wybrzeże Stanisława Wyspiańskiego 27, 50-370 Wrocław), hereinafter referred to as the Organizer.
  3. The Conference takes place on 22–24 June 2026 and is held in a hybrid format. On-site sessions are conducted at the Congress Center of Wrocław University of Science and Technology (Janiszewskiego 8, 50-372 Wrocław), while remote participation is enabled using one of the publicly available collaboration platforms – MS Teams.
  4. The Conference is organized jointly with the summer doctoral seminar of the ISGE discipline for PhD students of Faculties W7 and W9.
  5. For PhD students obliged to participate in the seminar, delivering a presentation is mandatory. With the consent of course supervisors, remote presentation is permitted.
  6. Participants of the Conference may include pupils, students, PhD candidates, researchers, individuals professionally or recreationally connected with the topics of the Conference, representatives of public administration, patrons, and invited guests, hereinafter collectively referred to as Participants. Participants are divided into Presenters – persons delivering a paper (in the form of a poster or oral presentation), i.e., actively participating in the sessions – and Attendees – persons not delivering papers, i.e., passively participating in the sessions.
  7. During the Conference, an online broadcast is conducted through the Organizer’s social media channels – via its official profiles on YouTube and Facebook.

  8. The Conference will include plenary lectures, thematic panels, and accompanying events. The detailed Conference programme will be available on the official website of the Event– https://kme.pwr.edu.pl – hereinafter referred to as the Conference Website.
  9. The Organizer reserves the right to change the date, venue, and form of the Conference until its commencement. All related information will be published on the Conference Website.
  10. The Conference venue will comply with the guidelines of the Chief Sanitary Inspectorate.
  11. Participants are required to comply with applicable safety rules, in particular the regulations in force on the premises of Wrocław University of Science and Technology, and to maintain full personal decorum, respect the opinions of others, and abstain from any antisocial behaviour – discriminatory, xenophobic, or racist.
  12. The Organizer reserves the right to remove – from both on-site and remote sessions – any person violating the provisions referred to in § 1 sec. 11. A removed person loses the right to rejoin the meetings held as part of the Conference.

§ 2
Registration for Participation in the Conference

  1. Participation in the Conference, both active and passive, is free of charge.
  2. To take an active part in the Conference, every Participant must register on the Conference Website. Registration applies to both active participants (Presenters) and passive participants (Attendees).
  3. A co-author of a paper who participates passively in the Conference is considered an Attendee.
  4. Registration for the Conference is possible only through the official registration form available on the Conference Website.
  5. Registration deadlines for each group of participants are provided on the Conference Website.
  6. The Organizers will verify co-authorship based on the paper title, and all correspondence with the author team will be carried out through the corresponding author (indicated in the abstract) or the first registered co-author of the given paper.
  7. Persons using the online broadcast (§ 1 sec. 7) and at the same time being Attendees will not have the possibility of active participation in the Conference – the streams will not allow commenting or communication with other Participants.
  8. The number of individuals presenting a given conference paper and simultaneously taking active part in the Conference may not exceed two. Persons presenting within the summer doctoral seminar must present their work independently.
  9. Submitting the registration form available on the Conference Website constitutes acceptance of this Regulation and a declaration of compliance with legal regulations and all arrangements made between the Participant and the Organizers.
  10. The Organizers reserve the right to refuse on-site participation if the limit of available seats is exceeded or if the content of the Presenter’s paper does not fall within the substantive scope of the Conference.
  11. Every Presenter will receive a certificate of participation, a conference materials package, and access to the full conference catering offer.
  12. Every Attendee will receive a certificate of participation – indicating, where applicable, co-authorship in selected papers. Access to the full catering offer will be granted only upon registration, with priority given to presenters and co-authors of papers. Attendees will be informed about access to the catering offer via e-mail no later than one week before the first day of the Conference. Lack of information should be understood as confirmation of access to the catering offer.

§ 3
Participation in the Conference

  1. Active participation in the Conference is possible only after submitting to the Organizers – within the deadline specified on the Conference Website and via the channels indicated in § 1 sec. 11 – an abstract of the paper, and after receiving a positive substantive review issued by the Scientific Committee of the Conference.
  2. The abstract – in English, in docx format, two A4 pages – must be prepared using the official editable template available on the Conference Website. Failure to comply may result in removal from the list of participants. For poster authors – the abstract must be at least half an A4 page in length, in English.
  3. All submitted abstracts will be reviewed by the Scientific Committee appointed by the Organizers. The Organizers will inform corresponding authors about the review outcome by e-mail, within the deadline announced on the Conference Website.
  4. The Organizer is not responsible for erroneous or false information provided by a Participant during registration.
  5. Only papers that receive a positive review may be presented during the Conference. The Scientific Committee may request corrections to selected abstracts due to insufficient substantive quality or failure to meet editorial requirements. The deadline for submitting the corrected abstract will be set by the Organizers and communicated to the corresponding author by e-mail (to the address provided in the abstract or registration form). Authors whose papers are rejected lose the possibility to participate in the Conference and cannot apply again for active participation.
  6. Each co-author must provide the Organizers with a complete set of signed declarations (in paper form or electronically as scans), authorizing the inclusion of the abstract in the conference materials prepared by the Organizers and on the website of the Lower Silesian Digital Library, within the deadline specified on the Conference Website. The publisher of the conference materials is the Publishing House of Wrocław University of Science and Technology. Failure to submit these declarations is considered a resignation from inclusion in the conference publications but does not release the author from submitting the abstract for review and does not prevent presentation during the Conference.
  7. Statements and views presented by Participants are solely those of the presenting Participant, and the Organizer is not responsible for their form or content. Other Participants are obliged to respect these views.
  8. Participants may not present statements or views that incite hatred or discrimination based on race, culture, ethnicity, religion, worldview, or gender. It is also forbidden to promote ideologies or symbols associated with totalitarian regimes, as well as religious, political, or nationalist agitation.

§ 4
Personal Data

In accordance with Articles 13(1) and 13(2) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (GDPR) (OJ EU L 119 of 04.05.2016, p. 1), hereinafter “GDPR”, we inform you that:

  • The controller of personal data is the Faculty of Mechanical and Power Engineering of Wrocław University of Science and Technology, headquartered in Wrocław (Wybrzeże Stanisława Wyspiańskiego 27, 50-370 Wrocław). The controller can be contacted via e-mail: wme@pwr.edu.pl, tel. 71 320 23 25 or by postal mail to the address of the controller’s headquarters.
  • The Organizer will conduct data protection activities in accordance with the rules published at  https://pwr.edu.pl/ochrona-danych-osobowych
  • Personal data including: name and surname of participants, contact e-mail, will be processed for the purpose of: informing the public about presenters (name, surname, affiliation), using abstracts and papers by the Organizers, and identifying the author on copies of the work.
  • The legal basis for data processing by the Faculty of Mechanical and Power Engineering is Art. 6(1)(a) GDPR, i.e., consent expressed by the participant.
  • The Participant has the right to lodge a complaint with the supervisory authority, i.e., the President of the Personal Data Protection Office.
  • Providing personal data is voluntary; however, without providing them, participation in the Conference is not possible.

The data controller will not conduct automated decision-making, including profiling, based on the provided personal data. Personal data will not be transferred outside the European Economic Area.

§ 5
Consent for Image Use

  1. During the Conference, the Organizer may conduct photography sessions and video recordings for documentation, promotion, and advertising purposes of the Organizers.
  2. Participation (active and passive) in the Conference is equivalent to granting free, unlimited (in quantity, time, and territory) consent to the use, processing, reproduction, and dissemination of the Participant’s image recorded in photos and videos taken during the Conference, without the need for additional approval, for informational, promotional, and advertising purposes of the Conference. This consent also allows photos and recordings to be posted online, especially on the Conference Website, open and closed services, and social media platforms of the Organizer.
  3. By accepting the Regulation, each Participant agrees to the sharing of their image in online broadcasts on social media channels operated by the Organizers.
  4. Participation in the Conference is understood as presence, on-site or online, confirmed by prior registration on the Conference Website.

§ 6
Final Provisions

  1. In the event of epidemiological risk, and thus a threat to the health of Conference Participants, the Organizer reserves the right to conduct non-invasive health checks, including measuring a Participant’s body temperature using a contactless thermometer. The Organizer may refuse entry to the Conference venue if the Participant refuses to undergo the check. The Participant also undertakes to report to the Organizer’s staff present at the Conference if they observe symptoms of an infectious disease.
  2. Any disputes arising from participation in the Conference will be resolved by the court competent for the Organizer’s headquarters, unless otherwise provided by generally applicable law.
  3. The Conference is private and does not constitute a mass event within the meaning of the Act of 23 March 2009 on the safety of mass events (consolidated text: Journal of Laws 2019, item 2171).
  4. The Organizer is not responsible for Participants’ belongings which may be lost, damaged, or stolen during the Conference.
  5. Participants bear full material responsibility for any damage caused by them at the facilities where Conference activities take place.
  6. This Regulation enters into force on the day of its publication on the Conference Website.
  7. The Organizer reserves the right to amend the Regulation, informing all Participants registered prior to the amendments and giving them the opportunity to resign from participation due to the changes.
  8. Any matters not regulated herein are governed by written decisions of the Organizing Committee, including the applicable provisions of the Civil Code.
